Keep both versions and their sources
| Record | Previous input | New statement |
|---|---|---|
| Weight per unit | 30 g | 32 g |
| Material | Supplier-stated HDPE | Supplier-stated HDPE; unchanged |
| Source | Supplier-spec-A.pdf, page 2 | Supplier-spec-B.pdf, page 2 |
| Source date | 1 August 2026 | 10 September 2026 |
| Customer review | Earlier approved input | Pending effective-date confirmation |
The new source does not silently replace the previous approved version. Keep the document, configuration, date and review decision with each value.
Show the numbers that would change
Assume the customer already approved the fictional state allocation below, and the new weight applies to all these units. These are component-weight totals, not complete statutory supply reports.
| State | Units | At 30 g | At 32 g | Change |
|---|---|---|---|---|
| Oregon | 10,000 | 300 kg | 320 kg | +20 kg |
| Colorado | 6,000 | 180 kg | 192 kg | +12 kg |
| California | 14,000 | 420 kg | 448 kg | +28 kg |
| Total | 30,000 | 900 kg | 960 kg | +60 kg |
The allocation needs its own source and customer approval. A supplier weight document alone does not establish which units belong in each state or period.
Leave the important question open
Did the supplier change the bottle on September 10, or correct an earlier inaccurate specification?
A physical change may affect only units from its effective date. A corrected specification may require review of an earlier period. Obtain the supplier's written explanation, link it to the record and let the responsible customer reviewer decide the treatment.
Until that decision is recorded, keep the earlier approved value and the proposed correction distinct. The example's +60 kg is a conditional calculation, not an approved correction.
Try the record with one component
A useful record identifies the configuration, component, material, weight and unit, source/page/date, applicable units, open question, previous version and customer reviewer.
